Reception/Admin Assistant 

Main Duties and Responsibilities

• Reception duties include welcoming visitors to Marle House and answering the telephone.

• To provide a wide variety of complex, responsible and confidential secretarial duties, which involves the use of independent judgement, personal initiative and diplomacy. This includes the ability to plan and prioritise own workload to meet deadlines.

• Create/amend documents, format and proof-read a wide variety of reports and letters. . Review draft documents for punctuation, spelling and grammar

• Booking of meeting rooms, as well as co-ordinating/assisting managers with the use of computers at the office if required.

• Maintain and raise requisitions for goods/services e.g. equipment, stationery, refreshments, maintaining sufficient supplies.

• Continue to develop and update excel spreadsheets and databases.

• Fire warden for Marle House, ensuring weekly checks are carried out.

• Responsible for the collation and distribution of statistics as and when required by local authorities or by the Department of Health.

• Oversee and co-ordinate the on-call rotas and ensuring all managers are updated with changes via email.

• Support people we support and volunteers to gain experience and general life skills.

• Receive, date stamping and distributing of the post daily. Ensure mail is posted each day, including recorded delivery letters, visiting the Post Office if required.

• Opening/closing of Marle House if required, ensuring the alarm is set/disarmed when required.

• Ensure drinks facilities & kitchens around the building are replenished and left clean daily.

Skills:

• Friendly and adaptable approach.

• Strong knowledge of Microsoft packages including Word and Excel.

• Previous experience in a similar role is desirable.

• Be self-motivated with a ‘can do’ attitude.

• Strong communication skills.

• Team player.

• Organised, motivated and efficient individual.

• Accurate and methodical.

• High level of accuracy and attention to detail.

• Ability to maintain a high degree of confidentiality.

Further Information:

• 25-30 Hours per week

• Hours worked acrossthe full week (Monday to Friday)

• £22,000 – £24,000 p/a (based on full-time, salary will be pro-rata)

• UK drivers licence and access to a car is required
